How do I add seasonality to hire prices?

The following article explains how to add seasonal pricing to the Booking and Hire module.

Seasonal pricing is used by businesses whose prices fluctuate depending on the time of year.

No Seasons

If seasonal pricing is not relevant for your business, you can ignore the rest of this article. A default 'season', 'PRI - Price', will be created for you and will be used throughout the year.

Creating a Season

The first step is to create and name the pricing seasons that occur during the year.

  • Go to " Booking and Hire Maintenance Options Hire Price Maintenance Add or Edit Price Types".
  • Press <F6> or click [Add].
  • At "Hire price type:", enter a unique 3 character code for the season e.g. 'SUM'.
  • At "Description:", enter a description of the season e.g. 'Summer'.
It is recommended that descriptions are kept as short as possible.
    • Optionally at "Colours", choose the text colour and background colour you would like the season to be displayed in.
  • Move to the "Settings" tab.
  • At "Period type:", choose 'Season Type'.
  • At "Default priority:", enter the default value of priority for "Price Type Periods" of this season.
Priority is a number between '0' and '99' where a higher number means greater priority.
In cases where price type periods overlap, periods with a higher priority take precedence.
  • Press [Done] and [Accept] the changes.

Defining Season Periods

Once the pricing seasons have been created, you will need to define when each season occurs:

  • Go to " Booking and Hire Maintenance Options Hire Price Maintenance Add or Edit Price Type Periods".
  • Press <F6> or the [Add] button.

If your business' seasons occur at the same time every year:

  • At "Period type:", choose 'Annual'.

Otherwise, if your business' seasons start and end on different dates during different years:

  • At "Period type:", choose 'One Off'.
  • At "Price type:", select the code of the season for which you want to define the period.
  • At "Priority:", enter the priority of this period.
Priority will default to the value set on the season's "Price Type".
    • At "From:", choose the month and date on which the 'Annual' period starts or the start date if this is a 'One Off' period.
    • At "To:", choose the month and date on which the 'Annual' period ends or the end date if this is a 'One Off' period.
  • At "Applies to:", choose 'All Hire Items'.
Using "Applies to:", it is possible to make a period only apply to a single hire item or a single price plan.
  • Press [Done] and [Accept] the changes.
