How do I create a quotation for a prospect?

  • Go to " Sales Prospecting Add or Edit Prospects".
  • Search for an existing prospect or create a new one.
  • Click on [Edit] to bring up the prospect's details.
  • Press <F4> to open the Enter/Amend Quotations window.
  • There are two main methods for adding information to the quote, one is to enter details as freetype text and prices, the other is to use details from the Stock Control system.

Adding Freetype Details

  • Under the "Text" heading, type the text that you want on the quote. This can be as short or as long as you wish.
  • Press <Enter> when you have finished entering the text to move across to the "Nett" column. Enter the price for the item described. This could be the price for a text line, a paragraph or even a price for the whole quote.

Adding Stock Details

  • If you have the Stock Control system, you can add the details of stock items to a quote.
  • Under the "Text" heading, press <Shift+F3> to open the Quotation Line Detail screen.
  • Enter a Stock Code or search for an existing Stock Code.
  • Enter the quantity in the "Quantity" field.
  • If the stock code you have chosen is a single item, press <Shift+F2> to copy the item's description and price to the quote.
  • If the stock code you have chosen is a kit, press <Ctrl+F2> to copy the details of the kit and its components to the quote.

Saving the Quote

  • Once you have added all the details to the quote, press <F2> to print the quote and then click [Accept] to save the quotation against the prospect.
  • If you just want to save the quotation and not print it, press <Shift+F7>.
