How do I Create a Rate Table?

The following article explains how to create a rate table in Logistics Management.

A rate table will allow you to select the rate to apply to a job; either manually or based on key information.

Go to " Logistics Management Maintenance Options Rate Table Amendments".

  • In the "Table" field, enter in a code for the new table and then press <Shift+F10> to enable you to add a description to the code.

Settings

If you wish to enable automation for this rate table follow the steps below else skip to Line and Column Details:

  • Select the [Settings] tab.

Automation allows the table to detect the line and column from which to take the Rate/Total value to apply to the job. As soon as the relevant details are entered within the job, the automation will be applied and the job rate or total populated.

The three aspects available for use are :

  • 'Area' - read an Area Code entered on the [Load] tab of a job.
  • 'Text' - read key words entered within a specific Text Box on a job.
  • 'Quantity' - read the Quantity field on a job.

Once you have decided how to create your table :

  • Select the appropriate drop down box for "Line automation by" and "Column automation by".
    • If you select 'Area' or 'Quantity' there are no further options.
    • If you select 'Text' you then need to specify which 'Block' to read, i.e. which of the three text blocks on the right of the job screen, and if you wish to read 'All' lines in the block or a specific line, e.g. 'Line 1'.
      • Specify how you want to search for matches between the text block on the job and the search words on the rate table.
    • "Alphabetically" will search through the rate table in alphabetical order until it finds the first match for your text.
    • "Sequentially" will search through the rate table for an exact match between the defined search words and the first word of the text block line. If you choose to use 'All' of the text block, this mode will look for a match on line 1 first, then line 2 and so on. This mode is useful when using numbers in your search text.
    • "For Postcode" will look at the end of the text block or text lines and look for the best match in the search words.
A table set to aLine automation by All Lines within Text Block 3 and to Column automation by Quantity would do the following.

When creating a job; Enter a City to deliver to into Text Block 3 and apply a Quantity of 10 to the job.

The system would apply this information to the Rate Table and locate the Line containing the City and read across to the Column linked to that Quantity.

It would then take the value entered for that intersect and apply that to the Rate or Total on the job.

The above is dependent on the details entered when creating the Lines and Columns.


  • Press <Esc> and <Accept>.
If you intend to use automation then you must complete the above steps before moving onto the next section to ensure the correct fields are enabled.


Line and Column Details

Line Details

Move to the line to amend then press <F5>.

In the "Line Descriptions" box that pops up, enter the required information:

  • At "Brief Desc" enter a brief line description which will appear to the left of the line in the table, e.g. LEI.
  • "Detailed Desc" : Enter a more detailed line description, e.g. LEICESTER. This will be displayed at the top of your screen when viewing the Rate Table.

If you are using automation for lines, enter the required information for the prompt shown (the prompt you see will depend on the settings you have chosen to use):

    • "Upper Limit" - Enter the upper value for this cell. This may be a quantity (e.g. Kilos for carriage charges) or a distance depending on how your business operates.
    • "Area" - Enter the area code for this line.
      • Press <F1>/<Shift+F1> to scroll through existing Area codes or press <Shift+F10> to create a new area code e.g. LE6.
    • "Search Words" - Enter search text to allow the system to identify this line from text entered onto a job e.g. DERBY.
  • "Value Type" - Each cell in the rate table contains a value. This setting determines which of the two Job fields are to be populated: "Rate" or "Total". You may enter either 'R' or 'T' here as appropriate.
  • When finished, press <Esc>.

Column Details

Move to the column to amend then press <F6>.

In the "Column Descriptions" box that pops up, enter the required information:

  • At "Brief Desc" enter a brief column description which will appear above the column in the table, e.g. MAN.
  • "Detailed Desc" : Enter a more detailed column description, e.g. MANCHESTER. This will be displayed at the top of your screen when viewing the Rate Table.

If you are using automation for columns, enter the required information for the prompt shown (the prompt you see will depend on the settings you have chosen to use):

    • "Upper Limit" - Enter the upper value for this cell. This may be a quantity (e.g. Kilos for carriage charges) or a distance depending on how your business operates.
    • "Area" - Enter the area code for this column.
      • Press <F1>/<Shift+F1> to scroll through existing Area codes or press <Shift+F10> to create a new area code e.g. LE6.
    • "Search Words" - Enter search text to allow the system to identify this column from text entered onto a job e.g. DERBY.
  • "Value Type" - Each cell in the rate table contains a value. This setting determines which of the two Job fields are to be populated: "Rate" or "Total". You may enter either 'R' or 'T' here as appropriate.
  • When finished, press <Esc>.

Once you have finished amending the Line and Column details, press <Esc> and <Accept> to save the table.

Copying an Existing Table

Go to " Logistics Management Maintenance Options Rate Table Amendments".

  • In the "Table" field, enter in a code for the new table.
  • Press <Shift+F10> to enable you to add a description to the code.
  • Select the [Settings] tab.
  • If required, enter the automation details as per the instructions above.
  • Click [Done] and [Accept].
  • Press <Enter> to move onto the first field within the table and press <F8>.
  • Enter the code for the table you wish to copy.
    • <F1>/<Shift+F1> will scroll through your current tables.
  • Press <Enter> to copy the table.
  • Edit the new table as required then press <Esc> and [Done].

Updating a Rate Table

If you wish to update prices within a table you may use the option to Inflate or Deflate prices by a percentage. Alternatively you may manually overtype prices.

This option cannot be reversed so please ensure you follow the steps carefully. If unsure please use the option to copy your table prior to amending it to provide you with values to refer back to.
  • To update by a percentage go to " Logistics Management Maintenance Options Rate Table Amendments".
  • Find your table by entering the code or using <F1>/<Shift+F1> to scroll through your current tables.
  • Press <Enter> to move onto the table.
  • Press <F7>
  • Enter your percentage to increase by or enter the minus sign to decrease.
  • Press <F2> to apply the change to the entire rate table.
  • Press <Esc> and [Done].
