How do I customise my booking agreement documents?

Summary

Hire Agreements may be printed as part of the hire process. This article explains how you may customise your own agreement.

More Information

Included in your system are two standard formats plus an additional two more detailed formats.

By default the system will produce a single item agreement ('SXBH005VS.EPL' - Default Vehicle Agreement) for hire vehicles and a multiple item agreement ('SXBH005.EPL' - Default Agreement) for all other items.

'SXBH005VSD.EPL' and 'SXBH005D.EPL' are more detailed versions of the above.

Creating a Custom Format

Go to " Reports & Settings Maintenance Options System Administrator Amend Document Formats Booking and Hire".

  • Click [View Instructions] or click here.
Unless you are very experienced at creating formats, it is advisable to copy an existing format and amend it to suit your purpose.

Copy Existing Format

  • Click on the agreement to copy, e.g. 'Default Agreement'. The document will usually open using Notepad.
  • Click [Edit] - [Select All].
  • Click [Edit] - [Copy].
  • Click [File] - [Exit].
  • Click "New Agreement".
  • Enter a filename e.g. 'SXBH005NEW' and click [OK].
  • Confirm you wish to create a new file.
  • Click [Edit] - [Paste].

You may now make your changes following the Agreement Configuration - Booking & Hire Document article for advice.

  • Click [File] - [Exit].
  • Confirm you wish to save your changes.

Your new agreement will be listed on the document menu.

Applying Custom Formats to Hire Item Types

Amending System Default Agreements

  • Go to " Reports & Settings Maintenance Options System Administrator Module Settings Booking and Hire Module Settings".
  • Scroll down to the "Agreement Documents" section.
  • Find the "Default ... file:" you would like to amend.
  • Click [Edit].
  • Enter the "Agreement file" name including the extension '.EPL'.
  • Click [OK].
  • Click [Done] and [Accept].
