How do I make a hire item unavailable for a period?

Downtime activities make hire items unavailable to be hired for a period of time. This might be because of damage to the item, routine maintenance or other repairs.

Making a Hire Item Unavailable

Go to " Booking and Hire Add or Edit Hire Item Activity".

The Hire Item Plan

The "Hire Item Planning" window will open showing activity of your hire items for the given period. You can navigate the planning view by:

  • Using the [Down] button to view the next page of hire items.
  • Using the [Up] button to view the previous page of hire items.
  • Using the [Zoom In] to view the hire item activity in more detail. The smallest viewable period is a single day.
  • Using the [Zoom Out] to view the hire item activity in less detail. The largest viewable period is four weeks.
  • Using the [Next] button to view the next 'day', 'week' or 'four week period'.
  • Using the [Previous] button to view the previous 'day', 'week' or 'four week period'.

You can modify what is shown on the planning view by:

  • At "Date:", entering the date for which you want to show activity.
  • At "Item type:", entering the type of hire items for which you want to show activity.
  • Pressing the [Search] button.

Creating a Downtime Activity

  • Press the [Add] button.
  • At "Hire Item:", enter the name of the hire item you want to make unavailable.
The entered hire item will default to the hire item currently clicked on in the planning view.
You can search for the hire item you want by pressing <Ctrl+F1>.
  • At "From:", enter the date and time from which the hire item is unavailable.
Again, the start date and time will default depending on exactly where on the planning view you have clicked.
  • At "To:", enter the date and time until which the hire item is unavailable.
  • At "Type:", enter the code of the downtime activity that describes the reason why this hire item is unavailable.
  • Press the [Done] button and [Accept] the changes to create the downtime activity.

You will now be able to see the unavailable period on the hire item plan.
