How do I Record a Contact Against a Customer/Supplier?

Summary

The following article explains how to record contacts with a customer or supplier. This could be useful if you want to note down what you discuss with a customer/supplier on the phone for example. The information is recorded against their account and can be viewed in the CRM.

Contacts with customer or supplier accounts can be recorded via the CRM or via a menu option.

The CRM/SRM can be accessed from any screen where you are on a customer or supplier account e.g. when in customer history, in a Personnel Planning task for the supplier, in a workshop job etc.

Recording a Contact from a Customer/Supplier account

  • Press <Alt+Y> to call up the CRM/SRM.
  • Press <F7> to bring up a new Contact Properties box.
  • Both the "Date" and "Time" fields default to the current date and time and shouldn't be changed unless you are recording contact details after the event.
  • In the "Type" field, enter a suitable contact type, e.g. 'TEL' for telephone call. If a suitable one doesn't exist, you may create it.
  • In the "Campaign" field, enter in a relevant campaign, if applicable, for the contact.
  • At "Notes", enter any relevant information you wish to record. If you need more room to record notes, go to the [Notes] tab.
  • When you have finished the task, click [Done] and <Accept> to save it.

Recording a Contact from Reports & Settings

Go to " Reports & Settings Customer/Supplier Contacts".

  • Press <F6> or click [Add] to add a new contact.
  • The pop-up window defaults to 'S' for Sales Ledger. To record a contact against a supplier, change the 'S' to 'P' for Purchase Ledger.
  • At "Account", enter the relevant account code, or press <Ctrl+F1> to search.
  • At "Contact", enter the name of the person to whom you spoke.
  • At "Type", enter the contact type, e.g. 'TEL' for telephone call. If a suitable one doesn't exist, you may create it.
  • Both the "Date" and "Time" fields default to the current date and time and shouldn't be changed unless you are recording contact details after the event.
  • At "Notes", enter any relevant information you wish to record. If you need more room to record notes, go to the [Notes] tab.
  • When you have finished the task, click [Done] and <Accept> to save the contact.
