Creating a Report

These instructions will guide you through creating a simple workshop job list.

Go to " Workshop Job Reports Workshop Report Generator".

  • Add a new report

Follow the sections below in order:

Sort Order

See How do I create a report sort order? to understand the fields here. The variables that you will need are :

'J01' - Job Number.

Press <Esc> to return the report menu.

Date Details

  • Press <Shift+F8> on the first row of the "From" column, where it currently shows '00/00/0000'. A small asterix will appear to the left of the field.
  • Use your <Tab> key to move across to the right hand "To" column.
  • Press <Shift+F8>. A small asterix will appear to the left of the field.

Press <Esc> to return the report menu.

Range Filter (1)

See How do I enter a report range? to understand the fields here. The variables that you will need are :

'J05'- Job Started Date.
    • Press <Enter> twice to move to the "Op." column.
    • Enter >= - Greater than or Equal to).
    • Press <F2> to change the date from '00/00/0000' to '01/F'.
    • Repeat the steps above but on the second row set the "Op." column to be <= - Less than or Equal to.
    • On the "Limit" change '01/F' to '01/T'.

These are referring to the first row of the date fields on the [Date Details] page.

If you have more than one workshop depot, press <F7>. Change the depot shown to be your depot

Press <Esc> to return the report menu.

The variables that you will need are :

'J01' - Job Number.
'J11' - Account.
    • Press <Enter> to move down to "Options".
    • To display the customer name on the report enter 'O,N'. Alternatively to display the account to be invoiced enter 'S,N'.
    • Press <Enter> and change the "Width" to be '30'.
    • Press <Esc> and [Accept] the column.
'J05' - Started Date.
    • Press <Enter>. Enter 'T,DD/MM/YY' in the "Options". This will display the date in a text format as Day/Month/Year.
    • Press <Enter> and change the "Width" to be '08'.
'J14' - Brief Notes.
'.03' - Condense Line.
    • Press <Enter>. This ensures the report will line up when the amount of text in the Job Descrption varies between 1 - 50 characters.
  • Press <Esc> twice to return to the report menu.

Presentation

You may wish to make the report more presentable, e.g. add a heading to display the date range you have used.

  • From the report menu, select [Column Details].
  • Move up to the top of the screen and enter 'H'.
    • Move down to "Column Type" and enter 'Q'.
    • Press <Enter> and type a suitable heading e.g. 'Jobs Starting From:'.
    • Press <Esc> and [Accept] the column.
  • Press <F2> to create column 2.
    • Move down to "File Var." and enter 'D01' - Date 1.
    • Enter 'T,F,DD/MM/YY' in the "Options".
    • Press <Esc> and [Accept] the column.
  • Press <F2> to create column 3.
    • Move down to "Column Type" and enter 'Q'.
    • Press <Enter> and type a suitable heading e.g. 'To:'.
    • Press <Esc> and [Accept] the column.
  • Press <F2> to create column 4.
    • Move down to "File Var." and enter 'D01' - Date 1.
    • Enter 'T,T,DD/MM/YY' in the "Options".
    • Press <Esc> and [Accept] the column.
  • Press <Esc>

Output Options

Specify how you wish to output the report.

Saving the Report

When you have completed your report click [Finish Editing] and click [Accept].
