Summary

This article explains how to book labour to a Workshop Job using Platinum Online.

More Information

  • Log in to Platinum Online.
  • Enter your 'Online ID' and 'Password' then click [Log in].

Recording Labour

Select " Workshop Technician Activity".

Logging on to a Job

  • All Jobs your system is configured to display will be listed on screen.
  • Select the Job on which you are going to start working.
  • Select the appropriate activity from the list of "Job Activities".
Depending on how your system has been configured, you may be booking individual lines of labour per technician or be able to book time to a descriptive line.
  • This will start recording your time taken.

Logging off a Job

  • Press [Activities] which can be found at the top of your screen.
  • Press the appropriate "Activity" from the list.
Ideally you should select a new activity each time you complete a job to ensure your time is correctly recorded. This allows the Workshop Performance, Efficiency and Productivity to be calculated accurately.
[Finished Activity] will log you off the job you have been working on without moving on to a new activity, i.e. you will be shown as Unoccupied in the Real Time Labour recording screen and in Labour Activity reports.

Recording Downtime

The " Activity Manager" can also be used to record downtime and time spent on other activities e.g. Lunch Breaks, Unit Collection & Deliveries and Workshop Cleaning etc.

Select " Workshop Activity Manager".

  • Select [Activities].
  • Select the appropriate "Activity" from the list.
  • Repeat these steps to log off the chosen activity either by pressing [Finished Activity] or selecting a different activity.

Synchronising Platinum Online

Platinum Online will use your internet connection periodically to update your Workshop system. To force the system to refresh and update:

  • Go to the [Technician Activity].
  • Select [Refresh].

Geolocation

The " Activity Manager" can also record the location of recorded labour. The first time the employee uses the option on their geolocation compatible device, they will be asked whether they consent to Platinum Online accessing their location data. If they do consent, the location of the start and finish of each activity will be recorded and will be viewable in the " Workshop Job Reports Job Reports Labour Activity Report".

Log Out

At the end of each day you should log out of Platinum Online.

  • Select the 3 bars () to the left of [Technician Activity].
  • Select [Logout].

Common Queries

Why is my current activity highlighted in red?

When viewing a job which you are not working on, the "Current Activity" will display a warning triangle and be highlighted in red. This is to draw your attention to the fact that you are not working on the job you have chosen to view.

How can I view my other scheduled jobs?

When you are logging time against a specific jobcard, the default view in [Jobs] will show that jobcard only.

  • To view your other jobcards, press [Jobs] at the top of your screen.
  • Select the job to view.

You may book Parts, add Images and add Notes to any job listed.

If you choose to start recording time against a new Jobcard, you will be automatically logged off the current job.

Why can I not see one of my Jobcards?

By default you will only see jobcards which have been scheduled for your Technician Code and the scheduled time must be on 'today's' date. (This is configurable, see Settings).

If the correct Technician Code and Date have been scheduled on the jobcard but you still cannot see any jobs, check your Platinum Employee Code has been assigned to your Technician Code - see this article.

Can I show jobs scheduled to other technicians?

By default you will only see jobs which have been scheduled for your Technician Code and the scheduled time must be on 'today's' date.

This is configurable and it is possible to show all jobs regardless of who they are scheduled to as well as the range of dates to show jobs on. See Settings for more information.

  • "Which jobs are shown to technicians?":
    • Setting this to 'Technician' will only show jobs scheduled to the logged in technician.
    • Setting this to 'Technician or Anybody' will show jobs scheduled to the logged in technician as well as jobs that are scheduled but not to any specific technician.
    • Setting this to 'All Allocations' will show all allocated jobs regardless of who they are scheduled for.
    • Setting this to 'All Jobs' will show all allocated jobs regardless of who they are scheduled for and all jobs that are unscheduled.
