Summary

This article explains what the date warning is for and how to extend the validation period if required.

More Information

Your system is based on a Financial Period i.e. the month for which you are preparing accounts.

Platinum will check your log in or transaction date against this period to make sure you are not logging in or posting transactions dated prior to, or too far ahead of, the financial period. This is a safeguard to prevent you unwittingly posting items back into a period your accounts team have already processed and to make you consider if you have entered an incorrect date.

Most users will not be ready to close their financial period until several days or even months after the period end. Platinum will allow you to continue and the items will be held in their period so allowing you to continue working in real time.

The date warning can be configured to give you more flexibility e.g. to allow you to continue several months past the period end before you are warned you may be getting too far ahead.

This process should be carried out by your system administrator e.g. your manager or accounts team, as general users will not have security clearance to access the system settings.

  • Go to " Reports & Settings Maintenance Options System Administrator Platinum Settings".
  • At "Search on" enter 'accountancy period' and click [Search].
  • At each of the "Security levels" click [Edit].

Generally at this point we would suggest you amend levels 0-4 to these settings:

  • "Backward" - '7 Days'
  • "Forward" - '7 Days'
  • "Continue" - 'Yes'

Amend levels 5-9 to these settings

  • "Backward" - '1 Month'
  • "Forward" - '3 Months'
  • "Continue" - 'Yes'

Once amended click [Done] and [Accept].

This will mean that lower security users will be warned to check their dates on a more regular basis than higher security users but that will depend on how your users are configured. As long as the Continue flag is set to Yes then users will be able to continue past the date warning.

To prevent a user logging in with anything other than todays' date please see this article.
