Troubleshooting payroll RTI submission errors

Summary

Occasionally when you are doing your RTI End of Period Submissions, errors may pop up. This article explains some of the most common errors and how to fix them.

Solution

This error message indicates that the "Accounts Office Reference" is missing in the Payroll Settings.

Platinum Username is Not a Full Name

Solution

This error message indicates that the "Long Name" of your user in Platinum does not conform to the RTI protocol. The "Long Name" needs to consist of a forename and a surname to pass the validation.

In the example above, the username for the Payroll Login has a name of 'PAYROLL'. 'John Smith' would be fine, but 'PAYROLL' or 'Everyone' will not do.

To correct this, you will need to change the 'Long Name' to be the name of the person that does the payroll. The 'User Code' can stay the same. For help on how to change these names, click here.

Error No 3 - (1046) - Authentication Failure. The supplied user credentials failed validation for the requested service.

Invalid or Unconfirmed Government Gateway Username and Password

Solution

This error message will require you to check that you have the correct Government Gateway username and password details. If not, you will need to reset them or obtain new ones from HMRC. For help on how to check or reset these items, click here.

If you have been issued with new Government Gateway username and password details, it can take some time for them to become activated and live.

Error No 4 - (3001) - Value '*USERNAME*' doesn't have the correct format

Invalid Email Address on your Platinum User

Solution

This error message will require you to amend the email address on your Platinum user. The email address can be left blank if required or it must contain a valid address. To amend the email address on your user, go to " Reports & Settings Maintenance Options System Administrator Add or Edit Users".

Error No 5 - (7847) or (3001) - The [PAYMENTAFTERLEAVINGDATEINDICATOR] is set. Please complete [LEAVINGDATE]

Solution

This message occurs if an employee's "Date of Birth" is entered with a future date. To resolve this, simply go into the employee details (See here for help on this) and adjust the date accordingly.

Error No 7- (23) Internet error - Please check your internet connection

Error 23; Connection failed

Solution

This error means that the submission to the Government Internet Gateway is being blocked.

This can be due to several issues:

  • Windows firewall is blocking the link - add exclusions to firewall.
  • Virus protection is blocking the link - add exclusions to your virus protection.
  • Ports being blocked on router - add rules into your router's port forwarding list.
  • You do not currently have an internet connection - seek advice from your internet service provider.

One quick test that you can try is to try the submission on another computer. This can often work as the blocks can be specific to a particular machine.
