Summary

This article explains how to add advisory notices to a unit in Unit Sales.

More Information

Units: Unit is a general term used to cover all types of vehicle and machinery, including items such as motorcycles, scooters, cars, trucks, vans, caravans, motorhomes, boats, tractors, ATVs, agricultural equipment, wholegoods and construction equipment.

The aim of the advisory notices section of the software is allow you to log any future work that may be required on units so that this information can be used to encourage unit owners to have this work done.

The advisory system is fully integrated into the software so that as much of the process as possible is automated. Information can be gathered and stored with the minimum of effort.

Advisory information should include any work that might be required to the unit prior to its next scheduled service.

Advisory items can be given appropriate priorities and an estimated date of action.

Should the customer choose not to arrange remedial work immediately, then a reminder of the problem and need for action can be generated via the customer retention centre in a similar way to service or MOT work required.

Adding an Advisory

Go to " Unit Sales Add or Edit Units".

  • Search for the relevant unit.
  • Click [Edit].
  • Click on the [Servicing] tab.
  • Click [Advisories].
  • If there are no outstanding advisories you will be taken to the "Advisory Item Properties" screen to create a new unit advisory else click [Add].

Adding Advisory Details

  • Enter a "Problem Code" relevant to the issue (e.g. LEA - Leak) or use the drop down button to select a code. See this article to create a new code.
  • Set the "Priority" for the issue.
    • Select 'Immediate', 'Urgent' or 'Advisory'.
  • Enter a short note to explain the problem.
  • Enter the Timescale for resolving the issue.
    • Use either "Remaining" mileage or "Time Remaining" in days or months or you may enter both.
  • "Remedial action" should not be completed until the corrective work has been carried out.

The advisory will be assigned a 'Due Date'. This controls when it appears in the Retention Centre.

  • Click [Done] and [Accept] to save the advisory.

When you are ready to assign the advisories to a jobcard please see this article.
