Summary

Occasionally, you may wish to create a Free Type, or Text Invoice/Credit within Platinum e.g. to account for the VAT in Deposits, Storage Charges, Subscription Charges etc. The following article explains how to do this.

Follow these instructions to create a Free Type Invoice or Credit Note. If you will be producing invoices on a regular basis please see How do I Create Regular Invoices?.

Creating an Invoice

Go to " Accounts\Systems Sales Ledger Invoice/Credit Notes".

  • At "Account" type in the customer's account code if known, or search for a customer.
  • In the "Sales Centre" field, enter the Sales Centre associated with this Invoice or search for it by pressing <Ctrl+F1>.
  • Press <CR> to move down to the "Comment" field. Enter a description that relates to the Invoice you are posting. This is what you will see when you view "Customer History" so it should be used to identify the nature of the transaction, e.g. 'Deposit VAT' or 'Storage'.
  • Press <F5> to take you to the text entry screen.
  • In the [Product Description] section, enter the details of the product or services being invoiced.
    • You may enter a 'Nett' amount per line or one figure for the whole Invoice. If the amount you enter includes VAT press <F6>.
    • You may edit the 'V.A.T. Rate' and 'Sales Centre' for each individual line of the Invoice.
    • Press <F7> to edit a specific line. Press <F7> to return to the text entry screen.
  • When you are ready to review and produce the Invoice press <F5>.
  • If you need to enter "Carriage", apply a "Discount" or edit the VAT amounts press <F7>.
  • Press <F5> to print the Invoice.
  • If you need to make any changes click [Edit] else click [Accept] to save the Invoice.

Creating a Credit Note

Go to " Accounts\Systems Sales Ledger Invoice/Credit Notes".

  • Change "Invoice/Credit" to 'C'.
  • At "Account" type in the customer's account code if known, or search for a customer.
  • In the "Sales Centre" field, enter the Sales Centre associated with this Credit or search for it by pressing <Ctrl+F1>.
  • Press <CR> to move down to the "Comment" field.
    • As you move over the "Document" field the system will open a [Document to Credit Selection] box.
    • If the Credit relates to an invoice in the list, click on the document and click [OK].
    • Click 'Unallocated' to create a Credit Note which is not allocated to an existing document.
  • Enter a description that relates to the Credit you are posting. This is what you will see when you view "Customer History" so it should be used to identify the nature of the transaction, e.g. 'Deposit VAT' or 'Storage'.
  • Press <F5> to create the Credit Note following the instructions above for entering an Invoice.
Enter the amounts as positive values. As you are creating a Credit Note the system will post the values as negative amounts to the Sales Ledger.
