How do I set up a Customer Loyalty Scheme?

Summary

You may set up a customer loyalty scheme within Platinum which allows you to give customers a loyalty card which they can use to earn points and subsequently redeem those points as discounts on future purchases.

Customer Loyalty is a separate module which must be installed on your Platinum system. Contact your Platinum dealer or our sales team on 0116 230 1500 or by using our website sales contact page for more information.

Customer Loyalty in Platinum

The Customer Loyalty module currently works with the Stock Control's "Point of Sale".

Loyalty Cards

You will need to source and purchase loyalty cards which will be distributed to your customers. These cards:

  • Must all start with the same (up to 4) characters.
  • Must be able to be read by a barcode scanner.

Contact our sales team for help with creating cards that will work with the Platinum system.

Setting up your Loyalty Scheme

Once you have the Customer Loyalty module installed, you can fill in the parameters to create your loyalty scheme.

  • Go to " Reports & Settings Maintenance Options System Administrator System Parameters".
  • Press <F9> to select the "Page", enter '15' and press <Enter>. You will be taken to the "Loyalty Scheme" parameters page.
  • At "Loyalty Card Leading Characters:", enter the characters (up to 4) that all your loyalty cards start with.
  • At "Loyalty Point Lifetime (Months):", enter the number of whole months after being earned, until which a loyalty point is eligible to be redeemed. Entering '0' here means points will never expire.
  • At "Loyalty Point Available From (Days):", enter the number of days that must pass after a loyalty point is earned before it becomes eligible to be redeemed. Entering '0' here means points will be available as soon as they are earned.
  • At "Loyalty Point Harvest Rate:", enter the monetary amount which must be spent in order for the customer to earn one loyalty point.
  • At "Loyalty Point Redemption Value:", enter the monetary value of one point when it is redeemed.
  • At "Register Address?", "Register Mobile?" and "Register Email?", enter 'Y' if you want to collect that information from new customers when a card is being registered to that customer.

Promotions

Promotions can be set up to give customers the chance to earn extra loyalty points on certain items for a limited period.

  • Go to " Stock Control Maintenance Options Promotions Maintenance".
  • Press [Add] or <F6> to create a new promotion.
  • At "Start date:" and "End date:" enter the dates between which you want the extra points to be available.

Bonus Points

If you want to give customers an extra 5 points if they buy a certain item:

  • At "Template:", choose 'Extra Points on "A"'.
  • In "Get __ bonus loyalty points", enter '5' or whatever value you want.
  • At "Stock code:", enter the code of the stock item you want customers to earn the extra points on.

Double Rate

  • If you want to give customers double points if they buy a certain item:
  • At "Template:", choose 'Double Points on "A"'.
  • At "Stock code:", enter the code of the stock item you want customers to earn the double points on.

Point of Sale

To use loyalty cards in "Point of Sale":

  • Enter all the items the customer is buying in the normal way.
  • Before pressing [Checkout], scan the customer's loyalty card using the barcode scanner. The customer's name and the number of points available to them will be displayed.
  • The number of points that are going to be earned from this sale will be displayed above the "Total:" in the bottom-right corner of the screen.
  • On the "Payments" screen, you will then be able to choose "Loyalty Points" to pay all or part of the outstanding balance using the points the customer has previously earned.
  • Points will be earned after the sale has been completed.

Registering a New Card

If the customer does not have a loyalty card, you can register one to them:

  • Before pressing [Checkout], take a loyalty card which has not yet been given to a customer and scan it using the barcode scanner. You will be presented with a "Register Loyalty Card" popup window.
  • If this is an existing customer:
    • At "Account code:", enter or search for the account for this existing customer.
    • Press <Register>. The loyalty card will now be registered to the customer and you can complete the sale in the normal way.
  • If this is not an existing customer or you are not sure:
    • At "Name", enter the customer's name.
    • If you have chosen to accept the address at this point, at "Address:", enter the customer's address.
    • If you have chosen to accept the mobile phone number at this point, at "Mobile:", enter the customer's mobile phone number.
    • If you have chosen to accept the email address at this point, at "Email:", enter the customer's email address.
    • Press <Register>. You *MIGHT* now be presented with another popup window "Existing Customer Selection".
    • If "Existing Customer Selection" is shown:
      • You will be shown a list of existing customers whose details closely match the details you have entered.
      • Look through the list, if you find the customer in that list, select and highlight that line and press [Choose] to register the loyalty card to that customer.
      • Alternatively, if the customer is not in that list, press [New] to create a new customer.
      • The loyalty card will now be registered to that customer and you can complete the sale in the normal way.
    • If "Existing Customer Selection" is not shown:
      • A new customer will have been created. The loyalty card has been registered to that customer and you can complete the sale in the normal way.
