Summary

This article explains how to add vehicle stock records to the system.

More Information

The definition of vehicles includes (but is not limited to) motorcycles, cars, caravans, motorhomes, agricultural whole goods, ATVs and trailers. Once the records have been created, they can then either be uploaded to the Catalyst Findit website, linked to third party sites or just be on the database ready to be sold out to a customer.

Go to " Unit Sales Add or Edit Vehicles".

  • Press <F6> or click [Add] to create a new vehicle record.
  • If not automatically assigned, press <F2> to get the next available stock code (Automatically Generated number).
  • Set the "New?" flag to 'Y'.
  • If the vehicle is a used vehicle and your system has been set up with HPI lookup enter the vehicle Registration number and click [Look Up].
    • The system will then contact HPI and fill in all the vehicle information including Make, Model, Description, V.I.N., Chassis Number, Engine Number, Engine size and much more... The HPI system will automatically create the vehicle models if they do not exist already in the system.
    • If your system is without HPI, you will need to add this information manually, see below!
  • Type in the Model of the vehicle. If the model exist this will appear, filling in the Make, Model and Description. If however the model does not appear you will have to create the model.

See Creating Vehicle models.

A vehicle location stores the type of vehicle to amend this press <Shift+F10> on the "Location" field. Click on the [Settings] tab enter the most common type of vehicle at this location in the "Vehicle type :". On a individual vehicle basis this setting can be overwritten on the main "Vehicle Properties" screen by the "Vehicle Type :".

Purchase

  • Click on the [Purchase] Tab.
  • The Supplier should automatically be filled in as this comes from the model code, but you will need to enter the purchase amount, date and any other charges in the relevant fields.
The vehicle price you enter here should always be Nett of V.A.T.
