Summary

To be able to create a Workshop job within the workshop system. The job will be searchable within the "Workshop Diary", as well as being editable.

Additional Information

  • To be able to create a Workshop job, go to "Workshop Management" -> "Workshop Diary".
  • This will Show the "Workshop Diary" and currently have today's date highlighted. to create a New Job on today's date click [Add].
  • To be able to create a New Job on a Future date you can either:
  • * Click on [>] or press <F1> to advance 1 Day.
  • * Click on [>>] or press <F2> to advance 1 Week.
  • * Click on [>>>] or press <F3> to advance 1 Month.
  • Once on the correct date click [Add] to create a new job.
The System will automatically create the Job number, this stops Duplicated job numbers being created.

Job card

A blank job properties screen will appear, waiting for you to fill in the details of the various parts of the job. You could always load in a Standard Job or continue as follows;


Accounts

  • At the "Keeper" Type in the Vehicle Keepers Account Code. Or if unsure of the account code press <C+F1> to search.
  • The "Invoice Account" will automatically be filled the same as the keeper, if however the person who is to pay for the job is different from the Keeper, enter their account in here. Or press <C+F1> to search for the account code.

Vehicle

  • At the "Vehicle" enter in the vehicle stock number. Or if unsure of the Stock numeber press <C+F1> to search.
If the vehicle and customer have already been entered into the workshop system when selecting the Keeper the vehicle will automatically be filled in.

Job Details

  • At the "Description" type in a description for this job. This will appear on the workshop job card. It is possible to add more description to a workshop job.
  • The "Status" will default to to BI(Booked In). this can be changed by typing in a different status code.
  • At the "Reference" Enter the job reference.
  • The "Depot" will default to the depot from where the stock for the job will be taken from.
  • At the "Rate"You may have rates set up for internal work; or warranty work for specific manufacturers. This enables you to set the unit cost and retail price of labour for a specific type of job without setting up that rate for each of your labour codes. This will be done here.

Schedule

  • At the "Recieved" enter the date the Job was entered. This date will default to the user date.
  • At the "Started" enter the date the Job was started. This date will default to the user date or if you entered here from "Workshop Diary" the date of the Diary.
  • At the "Due" enter the date the Job is due for completion. This date will get set to the start day if no date is entered.
  • At the "Hours" enter in the approximate time in hours it takes to complete this job.

  • If you enter a day beyond the end of the month then the end day for that month will be entered. e.g. 31/06/2003 will be converted to 30/06/2003.
  • The month and year elements of the date will be filled in if you leave these blank. e.g. If the year is 2003 and you enter 30/06 then the date entered would be 30/06/2003.
  • You may use any of the following characters to separate the different elements of the date: '-', '/', '\', '.' or ':'.

Essentially this is all that is needed to be done to create the basis of a workshop job.

  • Press <Esc>.
  • At "Confirm Changes" prompt Screen, click [Accept] to save changes to the job that you have just completed and return back to the Workshop Diary Screen.
