Summary

This article explains how to replace a loyalty card in the event a card is lost, stolen or damaged.

More Information

Loyalty Card Maintenance allows you to issue a replacement Loyalty Card and transfer the balance to the new card e.g. when a card is lost, damaged or stolen. You may also change the owner of a card.

Issue a Replacement Card

Go to " Reports & Settings Maintenance Options System Administrator Module Settings Customer Loyalty Loyalty Card Maintenance".

  • Enter the number of the card you are replacing (with or without the leading characters).
    • Alternatively enter the Customer's Account Code or part of the customer's name.
  • Click [Search].

Retire the Old Card

  • Select the card to replace and click [Edit].
  • Click on the "Status" field.
  • Press <Ctrl+F1> and click [List].
  • Select a suitable Status, e.g. 'Retired', 'Stolen' or 'Damaged' and click [Choose].
  • [Accept] the change. You will be prompted to enter a brief note for audit purposes, e.g. Reported stolen. Click [OK].
Please note the current Available Balance as you need to transfer the balance to a new card.
  • Click [Balance].
  • The Available Balance will show as 0. Click [Accept] to save the amended balance.
If the card has a Pending Points balance, you will need to repeat these steps when they become available to transfer.

Register a New Card and Transfer Balance

  • Click [Register].
  • Scan the new card or enter the card number, including the leading characters.
  • Click [Accept].
  • Enter the customer's account code or press <Ctrl+F1> to search for an account by name.
  • Click [Register] and [Done].
  • Click [Balance].
  • Enter the new balance and click [Accept].
You are amending the Available balance on a card. This will not affect any Pending points.
  • Click [Accept] to save the amended balance.

The new card can now be given to the customer.

Transfer Ownership

Go to " Loyalty Card Maintenance".

  • Enter the number of the card you are amending (with or without the leading characters).
    • Alternatively enter the Customer's Account Code or part of the customer's name.
  • Click [Search].
  • Select the card to amend and click [Edit].
  • Enter the customer to assign the card to:
    • Press <Ctrl+F1> to search for an existing account.
    • To add a new account press [Add] from the search screen. Follow this article.
  • Click [Done] and [Accept] the change. You will be prompted to enter a brief note for audit purposes, e.g. 'Customer Name Change' or 'Transfer Ownership'.
  • Click [OK].
