Summary

The aim of the advisory work section of the workshop software is to enable the logging of work which is potentially required on vehicles in order that this information can be used in the future to encourage vehicle owners to have this work done when required.

More Information

The workshop advisory system is fully integrated into the software so that as much of the process as is possible can be automated. Information is gathered and stored with the minimum of effort.

Advisory information stored should include all work that is expected to be required to the vehicle prior to it’s next scheduled service.

It is envisaged that the following workflow is followed although it is possible to disable features and also to log information on an “ad hoc” basis. Elements of the advisory work system can be selectively enabled or disabled as required via the workshop parameters option.

Advisory items can be given appropriate priority and an estimated date of action being required.

Adding an Advisory

Go to " Workshop Workshop Diary".

  • This will show the Diary for the current week and have today's date highlighted.
  • To create a New Job on today's date, click [Add].
  • Once all standard information has been added to the jobcard click the [Advisories] button to take you to the "Workshop Advisory Work" Screen.

This will show a screen with any outstanding advisories or if there are none then

Adding Advisory Details

  • From a current workshop jobcard and Once all standard information has been added to the jobcard follow the steps below
  • Click the [Advisories] button to take you to the "Workshop Advisory Work" Screen.
  • Click [Add]
  • Enter a "Problem Code" that is relevant to the issue (e.g. LEA - Leak)
  • Set a "Priority" for the issue. You can choose from 'Immediate', 'Urgent' or 'Advisory'
  • Next, add a Timescale. This can be entered as either a "Remaining" amount of miles until the issue causes a problem or an amount of "Time Remaining" in days or months.

This will set a 'Due date' on the advisory and this will be when it will appear in the retention centre.}}

This will create an advisory that will be related to the customer and vehicle but not yet allocated to the job as yet. To allocate see the steps below.

Allocating advisories to a Job

  • From a current workshop jobcard and Once all standard information has been added to the jobcard follow the steps below
  • Click the [Advisories] button to take you to the "Workshop Advisory Work" Screen.
  • Highlight the advisory line you wish to allocate to this job and click [Allocate].
Tip: If you make a mistake or wish to remove an allocated job simply click the [Un-Allocate] button. The advisory will remain there but no longer be allocated to that particular job.

Removing Advisory Details

  • From a current workshop jobcard and Once all standard information has been added to the jobcard follow the steps below
  • Click the [Advisories] button to take you to the "Workshop Advisory Work" Screen.
  • Highlight the advisory you wish to remove and Click [Delete]
  • The system will then ask "Are you sure you want to Delete?" to delete click [Yes]
WARNING: Once an advisory has been removed it cannot be restored without being manually recreated again, i.e. there is NO "undo" button.

Printing Advisories

  • From a current workshop jobcard and Once all standard information has been added to the jobcard follow the steps below
  • Click the [Advisories] button to take you to the "Workshop Advisory Work" Screen.
  • Highlight the advisory line you with to resolve and click [Allocate].

When Printing a Jobcard

When printing a workshop job card (Pressing <F9> or Clicking the [Job card] button at the top of the jobcard screen) a vehicle survey form is automatically produced. The technician performing the workshop job is expected to manually fill out the printed survey form and return this to the workshop administrator so that any advisory work discovered is documented. Access to document advisory information is convenient button that says [Advisories] on the workshop job details tab or alternatively from the same button on vehicle stock number on "servicing" tab.

When Printing an Invoice

As a customer invoice is raised an advisory work report is automatically produced for presentation to the customer. This is an ideal opportunity for the workshop reception to discuss issues with the customer and if appropriate organise a future visit for the remedial work to be performed.

In short, this is an excellent sales opportunity!

Printing Individual reports

Vehicle Survey

It is possible to print just the Vehicle survey (sometimes referred to as VHC or Vehicle Health Check) on its own, without a jobcard.

  • From a current workshop jobcard and Once all standard information has been added to the jobcard follow the steps below
  • Click the [Advisories] button to take you to the "Workshop Advisory Work" Screen.
  • Click the [Survey] Button, this will print a Vehicle survey form.

Workshop Advisory Work Report

  • From a current workshop jobcard and Once all standard information has been added to the jobcard follow the steps below
  • Click the [Advisories] button to take you to the "Workshop Advisory Work" Screen.
  • Click the Button to print a report of all current outstanding advisories or [All] to print all advisories, completed or not.
  • Finally Press <Esc> and [Accept] to save.

Resolving Advisories

  • From a current workshop jobcard and Once all standard information has been added to the jobcard follow the steps below
  • Click the [Advisories] button to take you to the "Workshop Advisory Work" Screen.
  • Highlight the advisory line you wish to resolve and click [Edit].
  • Go Down to the "Remedial Action Taken" section at the lower part of the Advisories window and add a "Remedy Code" in the field relevant to the way the issue was resolved
  • Finally Press <Esc> and [Accept] to save.
Tip: You can search a list of all your remedy codes by being in the "Remedy Code" field and press <C+F1>.
