This article describes how to edit a Journal Entry.

More Information

Occasionally you may wish to edit a journal e.g. to amend an incorrect date, value or centre. This is possible as long as it has not been through any of the month end audit options.

Internal Journals cannot be edited e.g. for Stock Movements or Sales/Purchase transactions updated to the Nominal Ledger.

Editing a Journal

Go to " Accounts\Systems Nominal Ledger Nominal Review".

  • Find the journal to edit by entering enough relevant information using the fields described below:
    • Enter one of the Nominal Centres on the journal in the "Centre from:" and "Centre to:" fields. You may press <Ctrl+F1> to search for a centre.
    • Enter the Journal Number in the "Journal from:" and "Journal to:" fields.
    • Enter the Date of the journal in the "Date from:" and "Date to:" fields.
    • If you want to search by the comment you left on the journal entry e.g. Bank Transfer, enter the text to search for in the "Filter on:" box.
  • Click [Search] to find the journal.
  • Depending on your search criteria you should see a list of possible journals grouped by Nominal Centre. Select the item from the list and click [Choose].
  • Any journals matching your search criteria for the chosen centre will be listed on screen.
On the right of your screen is a Key. Any journals which are Editable will be highlighted the colour shown in this key.
  • Select the Journal and click [Edit].
  • You will be able to amend the Date, Centre, Amount and Comment. The total of the journal must return to Zero.
    • To add a new line click <F6>.
    • To delete a line click <F10>.
  • To save the changes click [Done] and [Accept].
