How do I record labour in the workshop?

This article explains how to add Labour to a workshop job using the Real Time Labour Recording option.

When a technician starts work on a jobcard they should clock themselves onto that jobcard at the appropriate labour rate. To use this method it is ideal to have a barcode scanner for the technicians, however it is not a requirement.

Real Time Labour Recording Labels

To use the Real Time Labour Recording with a barcode scanner you will need to print out labels for each of the technicians and the applicable labour rates.

Go to "Workshop Management" -> "Job Reports" -> "Real Time Logging – Labels".

Labour Logging - Labour Code

  • This is used to print out a label for each technician.
  • Enter the technicians Labour Code and click [Start] to print out the label to your label printer.
  • Repeat this for each technician.

Labour Logging – Labour Rate

  • This is used to print out a label for the different labour rates available.
  • Enter the Labour Rate code and the technician’s Labour Code click [Start] to print out the label to your label printer.
  • Repeat this for each labour code required.

Booking On and Off a Job

To book onto a Jobcard

Go to "Workshop Management" -> "Real Time Labour Recording".

  • Scan the Technician’s barcode label or type their labour code and tap <Enter>.
  • Scan the barcode printed on the jobcard or type the job number and tap <Enter>.
  • Scan the relevant labour rate label or type the relevant labour rate number e.g. '001', '002' etc and tap <Enter>.
  • This now starts recording in real time how long they are working on the specified job.

After a short period of time the screen will change to a monitor style screen showing you who is booked to which job. You can book on and off jobs from this screen using the same methods as described above and below this paragraph.

To book off a Jobcard

  • Scan the Technician’s barcode label/type their labour code and tap <Enter>.
  • Scan the barcode printed on the jobcard/type the job number and tap <Enter>.
  • The labour is then booked to the jobcard. The Actual time taken is recorded and the Charged time is rounded up according to your minimum charge period parameter

Real Time Labour Recording Parameters

There are three parameters to be set for this feature; Minimum Charge Period, Automated Day End Time and Status For Jobs in Progress.

Go to "Workshop Management" –> "Maintenance Options" –> "Parameters" –> "Real Time Labour Entry".

  • "Minimum Charge Period:" Set this to the minimum minutes to charge for e.g. if you set it to '15' then time spent on the job will be rounded up to the nearest fifteen minutes when the charge to the customer is calculated.

The actual time spent on the job is not rounded up.

  • "Automated Day End Time:" Set this to the normal closing time of the workshop or thereabouts. Any technicians still booked onto jobs at this time will automatically be booked off them.
Platinum must still be open on a machine for this to work.
  • "Status For Jobs in Progress:" Set this to a job status so that when a technician books onto a job it changes the status to say the job is being worked on.
