Summary

This article explains how to deal with unallocated jobs. Unallocated jobs are jobs which are not allocated to either a date or a specific technician.

More Information

Not all businesses require to be able to keep jobs unallocated. Unallocated jobs by their very nature are not listed in the workshop diary so are inherently easy to overlook. They do however offer significant advantages to some organisations.

They are useful for instance where a large number of manufacturer equipment upgrades or recalls need to be arranged but cannot immediately be allocated to a date or technician.

Setup

In order to take advantage of the unallocated job facility, you will need to enable the feature.

Go to " Reports & Settings Maintenance Options System Administrator Platinum Settings".

  • Change "Automatically schedule jobs" to 'No'.
  • Pressing <Esc> will save any changes.
If you want to access technician diaries when scheduling work, in " Reports & Settings Maintenance Options System Administrator Platinum Settings", select the Workshop module and search for 'Links'. Here change the setting for Personnel Planning to 'Yes'.

New Jobs

When work is entered into the system, it will not be automatically scheduled unless the user deliberately allocates the job to a specific date and or technician.

  • Create the job as usual following this article.
  • Leave the "Start" date blank (press <Ctrl+F2> on the field if you fill it in by mistake).
  • Enter the "Due" date for the work to be completed, if known.
  • Enter the estimated number of "Hours" for the work.
  • Click [Done] and [Accept] the job.

Schedule Unallocated Jobs

To allocate a previously entered job via the workshop diary, use <Shift+F6> to list unallocated jobs.

  • Use <F4> to allocate a schedule or <F5> to edit and then allocate it to a technician's diary. Jobs can likewise be unallocated if for some reason they need to be rescheduled later.
