How do I create a logistics job?

Summary

This article explains how to create a ticket in Logistics Management.

Ticket prompts can be customised. This article refers to the standard prompts issued with Platinum. If you need further assistance, please Contact your Platinum dealer or our support team on 0116 230 1500 or by using our website support contact page.

Be sure to fill in as much information as possible as this will make for a more detailed Job Ticket. You may return to the job at a later date to add more information.

Go into " Logistics Management Job Planning".

  • Press [Add] or <F6> to add a new ticket.

Job

  • Enter the required Account code in the "Customer" field.
    • Press <Ctrl+F1> to search for a customer or press <Shift+F10> to create a new customer account.
  • The "Job No." will be created automatically.
If using manual Job numbers, please take care to avoid duplications.
  • Enter a "Customer Ref." and "Order No" if applicable.
  • Enter the "Date" the job is to be done.
  • The "Status" field will be amended by the system depending on the progress of the job. See this article for advice.
  • Enter the "Driver" to assign to the job. If they have an allocated vehicle it will be assigned to the job. Amend the "Vehicle" and "Trailer" if necessary.
    • Press <F1> or <Shift+F1> to scroll through existing drivers, vehicles or trailers or <Ctrl+F1> to search for a record.
Both the "Driver" and "Vehicle" fields MUST be filled in for the status of the job to change from 'Unplanned' to 'Planned, Pricing required'.

Job Information

  • Complete the "Remarks" section with any relevant details, e.g. what is being delivered: 'Fruit & Veg', 'Timber' etc.
  • Enter the "Collect" from and "Deliver" to addresses.
You may choose from and save standard text blocks by pressing <Ctrl+F1>. Commonly used addresses can be saved and linked to specific customers, saving time when creating future jobs.
  • You may enter specific contact information, e.g. 'Name', 'Phone Number', 'Pick up times' etc by clicking "Con".

Amounts

  • The "VAT Rate" should be set automatically based on the customer to invoice. To invoice at an alternative VAT rate, see this article.
  • The "Centre" field will automatically be filled by the default sales centre. This provides sales analysis for the accounts department. This can be changed if required.
Amending any of the fields below WILL affect the status of the job.
  • Enter the "Quantity" and "Rate" for the job. The quantity and rate will be multipled to create the "Work value" e.g. enter "Quantity" 4 and "Rate" 25 to charge £100.
  • In the "Extra" field, enter any extra amount or surcharge charged for this job.
  • The "Nett" field shows the nett (before tax) total. This is worked out by adding the "Work value" and "Extra" amounts together.
  • Tagging the jobs in the planning screen will give you a total of the jobs rates down at the bottom. You can use [T] to tag the jobs and [U] to untag the jobs.

Printing the Ticket

Whilst in the job, press <F9> to print the ticket.

  • Enter any specific notes to print on the ticket, if required.

Saving the Ticket

When you have completed all relevant details, click [Done] and [Accept].

You may return to the job via the Job Planning screen.

  • Find the job to amend and click [Edit].
  • You can also amend specific details of the job on the job planning screen.
