The following article explains how to create a hire price rate in the Booking and Hire module.

More Information

A price rate is a defined period of time that is used to calculate the price for booking a hire item. The period of time can be any length but common examples of price rates are 'Day', '2 Days' & 'Week'. When a customer booking is made, multiple price rates can be added together to calculate the final booking price.

Creating a Price Rate

  • Go to " Booking and Hire Maintenance Options Hire Price Maintenance Add or Edit Price Rates".
  • Press <F6> or click [Add].
  • At "Hire price rate:", enter a unique 3 character code for the price rate, e.g. '1WK'.
  • At "Description:", enter a description of the rate. It is recommended that you keep these descriptions as short as possible, e.g. 'Day' or 'Week'.
  • Move to the [Settings] tab.

Rates With a Specified Start

Some price rates have a specific start time associated with them.

Weekend: A business might offer a weekend rate that starts on a Friday.
  • At "Specific time?", choose 'Yes'.
  • At "Start:":
    • Choose the day of the week on which the price rate starts.
    • Enter the time at which the price rate starts.
  • At "End:":
    • Choose the day of the week on which the price rate ends.
    • Enter the time at which the price rate ends.

Rates Without a Specified Start

As expected, rates that do not have a specified start can start at any time.

  • At "Specific time?", choose 'No'.
  • At "Rate period?", specify the period of time this rate covers (leave blank any that do not apply to this rate but you must specify one of the below):
    • At "Weeks:", enter the number of weeks in the rate's period of time.
    • At "Days:", enter the number of days in the rate's period of time.
    • At "Hours:", enter the number of hours in the rate's period of time.
    • At "Minutes:", enter the number of minutes in the rate's period of time.
Eligible Periods

You may create a rate that comes into effect after an "Eligible period".

Extra Day: A business might offer an extra day rate which is cheaper than the usual day rate on bookings that are longer than a week. So you would set the Eligible Period to Weeks: 1 and the Rate Period to Days: 1.

If this rate is for a specific rate, following a specific period of time, enter the eligibility period for the rate:

  • At "Eligible period?", choose 'Yes' (leave any blank that do not apply but you must specify one):
    • At "Weeks:", enter the number of weeks that are required in the booking for the rate to be eligible.
    • At "Days:", enter the number of days that are required in the booking for the rate to be eligible.
    • At "Hours:", enter the number of hours that are required in the booking for the rate to be eligible.
    • At "Minutes:", enter the number of minutes that are required in the booking for the rate to be eligible.

Accepting the Price Rate

  • Once you have finished, press [Done] and [Accept] the changes.
