Summary

This article explains how to retrieve a saved Stock Control quotation.

More Information

Go to " Stock Control Invoicing & Customer Orders".

  • At "Customer" enter the account code of the customer you wish to retrieve the quotation for or search for a customer.
  • Remain on the "Customer" field and click [Quotations] or press <F3>.
  • Any quotations saved for that customer will be listed on screen. The details of each will be displayed in the review section on the bottom section of the screen.
  • Select the quote to retrieve then click [Load] or press <F2>.
  • You will return to the "Customer" field. Press <Enter> to view the items.
  • You may now amend the quote and re-print it, see - How do I create a stock quotation? or invoice the items as normal.

Finding a Quotation

If you are unsure which account a quote has been saved under, you may search through all Quotations.

  • At "Customer" press <F1> to make sure you are not on the Default Invoice Account code (it doesn't matter which account is now showing).
You may not save quotations against a default invoice account i.e. the Cash or Counter Sales account. You are advised to take the customer details and save them as a new customer record prior to storing a quotation.
  • Click the [Quotations] button at the top of the screen or press <F3>.
  • Make sure you are on the "Account" field and press <Ctrl+U> to blank out the field.
  • Press <F2> or click [Search] to list all Quotations saved on the system.
  • Navigate to the quotation you require, the details of each will be displayed in the review section on the bottom section of the screen, click [Load] or press <F2>.
  • Click enter to move from the customer account field into the items table, to view items listed on your quote.
  • This will then add all the parts to the [Invoicing & Customer Orders] screen using the Customer Account the quote was originally saved under.
Once you have retrieved your quote you must process as an invoice or re-save as a new quote. Exiting the program without doing either will result in the deletion of the quote.
