How do I set a workshop job status using Platinum Online?

Summary

This article explains how to set a workshop job status using Platinum Online e.g. to relay to the service manager/controller that there is a problem with a job or that it is ready to be invoiced.

More Information

  • Log in to Platinum Online.
  • Enter your 'Online ID' and 'Password' then click [Log in].

You may configure 3 status codes to choose from when in Platinum Online: In Progress, Problem with Order and Ready to Invoice.

Setting the Status

  • Go to " Workshop Technician Activity".
  • All Jobs your system is configured to display will be listed on screen.
  • Select the Job you wish to set the status for.
  • Scroll down to the " Job Status" - "Change status" section.
  • Select the relevant status.
  • You may also wish to add a note to the job which will be added to the [Description] tab of the jobcard.
  • Press [Submit].
Periodically your device will synchronise with your live Platinum system. At this point the job status will be updated and any notes will be added.

Customise Job Status Settings

You will need to customise the settings prior to using the job status buttons.

  • Within desktop Platinum go to " Reports & Settings Maintenance Options System Administrator Platinum Settings" - select "Module" - 'Workshop'.
  • Search for 'status'.
  • The "Status for jobs in progress" should already be set but if not click [Edit].
    • Enter your status or press <Ctrl+F1> to search for an appropriate status.
    • Click [OK].
  • [Edit] the "Remote job alert status" which can be used to indicate to the service manager/controller that there is a problem to resolve.
    • Enter your status or press <Ctrl+F1> to search for an appropriate status.
    • Click [OK].
  • [Edit] the "Ready to invoice status" which should be used to indicate all work has been carried out.
    • Enter your status or press <Ctrl+F1> to search for an appropriate status.
    • Click [OK].
If a status doesn't exist then you can click [Add] to create a new status. Use a 3 character code and a suitable description. Set a "Background" colour then click [Done] and [Accept].
  • Click [Done].
  • Save the settings by clicking [Done] and [Accept].

You should advise users to log out of, and back into, Platinum Online to detect the changes.

Synchronising Platinum Online

Platinum Online will use your internet connection periodically to update your Workshop system. To force the system to refresh and update:

  • Go to the [Technician Activity] screen.
  • Select [Refresh].

Log Out

At the end of each day you should log out of Platinum Online.

  • Select the 3 bars () to the left of [Technician Activity].
  • Select [Logout].
