How do I set up account levels on my ecommerce website?

Summary

Creating Account Levels

  • To create a new attribute, you need to:
    • Go to " Reports & Parameters Maintenance Options System Administration Add or Edit Customer Attributes".
    • Enter a 3 digit reference code into 'Customer attribute' and press enter
    • Give the account level a description in the 'Description' field and press enter.
    • On the next tab, enter WEB as the 'Category', so it is given the "Platinum O" category.
    • Click 'Done' when complete.

Assigning an Account Level

Your on-line customer accounts can be grouped into several user levels which can then be given different account settings on the website. This is done using Customer Attributes.

  • Go to " Sales Ledger Customer File Maintenance Add or Edit Customers".
  • Find the accounts you want to set up.
  • Click [Edit] then go to the " Attributes" tab.
  • Under "Category" select 'Platinum O'.
  • Tag the account with an attribute from the list.
  • Click [Done] when complete.

When you have set up your manager and trade accounts:

  • Go to " Reports & Parameters Maintenance Options Platinum O and Catalyst FindIt".
  • Click " Upload Database and Images".
If your upload doesn't appear to perform " Gathering/Uploading customer details" then Contact your Platinum dealer or our support team on 0116 230 1500 or by using our website support contact page to have your Platinum O account set up.

What account levels are available

By default, you have will have 6 base account levels, which are:

  • 'Web Administrator' (~WA): Higher level of manager account which can log in to the website and place orders for trade customers.
  • 'Web Account Manager' (~WM): Lower level of manager account which can log in to the website and place orders for trade customers.
  • 'Web Trade Customer 1' (~WP): Higher level of trade customer which (with default settings) can change their account details and delivery address, etc.
  • 'Web Trade Customer 2' (~WT): Lower level of trade customer which (with default settings) can place orders but not change their account details.
  • 'Web Exclusion' (~WX): Tag this to exclude this customer from the website.
  • Retail Customer (no tag): Retail customer which (with default settings) can place orders but must pay via PayPal at time of order.
Update your Platinum system if you do not have the customer attributes mentioned above.

Editing Account Attributes

Once your manager and trade accounts have been tagged and uploaded, you can use the online control panel to control the features that they have access to.

  • Go to " Reports & Parameters Maintenance Options Platinum O and Catalyst FindIt".
  • Click " Online Control Panel".
  • Click Manage " Store".
  • Find the " Manage User Accounts" section.
  • Use the "Account Level" drop-down box to select the level of account you want to view or amend.
  • For each of the following settings, choose whether this level of account...:
    • "Account Details": can change their account details (name, address, phone, etc.).
    • "Delivery Address": can specify a delivery address when placing an order.
    • "Order Reference": can specify an order reference/"your ref" when placing an order.
    • "Order Notes": can specify order notes/special instructions when placing an order.
    • "Add to Basket": can add items to the basket and place an order.
    • "PayPal Payment": must pay when placing an order.
  • And you can also change the following settings:
    • "Stock Availability": select the stock levels you would like them to see
    • "Order Notes": add custom order notes to account level. {{manager}} is replaced by the managers name.
    • "Account Level": select what level of account to set the user level. (custom accounts require you to change this manually)
